This position is responsible for providing administrative office support and data entry services of employment data entered into the HRIS systems. This data will consist of new employee, salary, benefits, EEO and other personal information used within the Human Resources Department. Provides primary support to Human Resources Generalists and Administrative Assistant.

DUTIES:        

PRIMARY RESPONSIBILITIES: This position is responsible for providing administrative office support and data entry services of employment data entered into the HRIS systems. This data will consist of new employee, salary, benefits, EEO and other personal information used within the Human Resources Department. Provides primary support to Human Resources Generalists and Administrative Assistant.

  • Posts job openings at the appropriate times. Disseminates job postings electronically and for submissions to AFSCME’s website. Updates job boards and websites to keep postings current.
  • Enters data on new employee information, salary, benefits, EEO information and other source documents into HRIS databases and any other department databases. Apprises the appropriate staff member when documents are incomplete or missing. Creates and routes appropriate actions and other reports from the databases.
  • Creates and maintains employee personnel files.
  • Assists with aspects of leave administration to include; administrative support of FMLA leave requests, employee audits, data-entry of leave and audits, run absence accruals, and calculate overtime.
  • Provides phone coverage for the department and office support to the professional staff members in a responsive, courteous manner. Takes clear messages and relays them promptly. Responds to requests for information such as job opening information and status, application procedures and leave information.
  • Format and finalize draft correspondence for review by management then send finalized correspondence to recipients.
  • Records large volumes of historic data into databases as needed for the purpose of enhancing data analysis capabilities of the software. Audits data entered into all automated systems and personnel records. Generates routine reports and personnel actions using HRIS databases.
  • Under direction, prepares routine personnel documents, applications, EEO voluntary self-identification forms, performance evaluations for filing after data entry is complete. Alerts mailroom, switchboard, Information Systems and security with personnel changes as appropriate.
  • Maintains an accurate and accessible filing system, including maintenance of departmental records. Files job opening information, personnel actions, offer letters, etc. in appropriate files.
  • Distributes mail received by the department.
  • Scans documents and handles data entry for the document management system. Handles requests for information from the database and personnel files.
  • Creates and sends electronic new hire packets for onboarding of new staff.
  • Assist with employee activities and solidarity programs.
  • Performs other comparable duties as assigned and acts as back-up to other support staff.

REQUIREMENTS: 

Education & Experience:

  • High school graduate or equivalent, some business school education and a minimum of three (3) years of general office experience, preferably in a human resources environment or any equivalent combination of education and experience

Skills

  • Working knowledge of human resources policies and procedures. Ability to read and interpret policy and contract statements. 
  • Thorough knowledge of Microsoft Office software with some knowledge of spreadsheet software and graphics software.
  • Knowledge of business document formats and accurate data entry into database.
  • Excellent communications skills, including tact and diplomacy when dealing with the public.
  • Good organizational skills and strong attention to detail.
  • Ability to handle and maintain confidential information. Knowledge of HRIS databases preferred.
