This position provides administrative and technical support for the membership division of the Data & Analytics Department.  Presents a professional and pleasant attitude to AFSCME members calling the membership hotline. Assist members with a variety of calls; performs officer updates in Unionware systems, processes political rebate applications, and assists with credential processing for the AFSCME Convention.

 

Duties:

  • Answers incoming calls for AFSCME membership hotline and department, route calls, take and deliver messages.
  • Uses data tools to track and record member calls and interactions in online systems.
  • Help members determine their needs and route them to the appropriate affiliate or resource.
  • Assist members with questions regarding the member card application.
  • Assist members with activating their membership (Email collection tool).
  • Update and maintain officer data in Unionware databases based on submissions from affiliates, this includes monitoring various sources of data submissions.
  • Review and verify officer terms and titles according to the affiliate constitution.
  • Maintain files of processed and pending officer submissions using online tools.
  • Process request for member card replacements.
  • Distribute and manage monthly officer expiration reports and maintain a contact list of affiliate staff.
  • Collaborate with the Member Data Assistant to resolve synchronization issues in Unionware systems.
  • Process political rebate applications using data tools, track their progress, and follow standard operating procedures.
  • Prepare appropriate records inventory for sending documents to Labor History Archives.
  • Process incoming delegate and alternate delegate credentials received for the International Convention and special conventions, including coding credentials using an established coding system and scanning and filling credentials.
  • Process and track request for replacement convention materials.
  • May be required to perform other related duties as assigned.

 

Requirements:

Education and Experience

Graduation from an accredited two-year college with an associate degree and a minimum of three (3) years of office experience plus general knowledge of office and organizational procedures or any equivalent combination of education and experience which provides the required knowledge, skills and abilities:

 

Skills Requirements:

  • Maintain a calm, professional demeanor when dealing with members. Employ active listening skills and empathetic communication.
  • Strong technical and computer skills with a high level of proficiency in MS Office Suite.
  • Experience using membership systems such as Unionware.
  • Ability to perform accurate data entry into databases. Excellent knowledge of office and organizational procedures.
  • Strong attention to detail.
  • Ability to maintain a digital filing system.
  • Ability to learn new data collection tools.
  • Basic knowledge of office equipment such as reproduction, telephone and fax machines.
  • Must be able to independently complete assignments and work under pressure to meet tight schedules.
  • Excellent written and oral communication skills to exchange information with affiliates and departmental staff.
  • Capable of handling multiple tasks and working as a highly motivated self-starter.
  • Ability to establish and maintain effective working relationships.

 

Travel & Work hours 

  • Overtime may be required on occasion.
