This position provides clerical and administrative support to for Data & Analytics Department and is primary clerical support for convention delegate and alternate pre-registration activity. 


  • Compare officer activity received from affiliates to information in affiliate constitutions.
  • Update affiliate officers and affiliate information as appropriate in Enterprise Database based on verification of terms and officer titles. 
  • Maintain files of processed and pending officer activity. 
  • Verify weekly activity updated in the Enterprise Database using reports from Enterprise Database against source documents from affiliates or other sources. 
  • Verify officer credential cards produced weekly using reports from Enterprise Database against source documents processed.
  • Mail officer credential cards to affiliates and maintain excel spreadsheet that tracks usage of officer credential cards.
  • Assemble materials for monthly officer expiration listing sent to affiliates. 
  • File and retrieve officer source documents for reference as needed.
  • Annually purge officer information so that a five-year history is maintained in-house.
  • Prepare appropriate records inventory for sending documents to Labor History Archives.
  • Answer incoming phone calls from affiliates or international staff regarding affiliate officers.
  • Assist with some membership related calls and phone coverage as necessary.
  • Perform all preliminary processing of delegate and alternate delegate credentials received for the International Convention, including coding credentials using established coding system, keying credential information into Convention Database and filing processed credentials.
  • Generate and prepare routine correspondence for supervisor’s review and signature using pro-forma letters or memos from departmental templates.
  • Draft letters for manager’s signature regarding issues with delegate and/or alternate delegate credentials using pro-forma letters and editing as necessary. 
  • Prepare draft follow-up communication to affiliates on convention-related inquiries and maintain record of communications regarding issues with delegate and alternate credentials.
  • Maintain excel spreadsheet that tracks usage of officer credential cards.
  • Prepare inventory for transmitting convention files to Labor History Archives after convention. 
  • May be required to perform other related duties as assigned.  


Education & Experience:

High school graduate or equivalent and up to (3) three years of office experience plus general knowledge of office and organizational procedures or any equivalent combination of education and experience which provides the required knowledge, skills and abilities: 


  • Excellent knowledge of office and organizational procedures.  Basic knowledge of office equipment such as reproduction, telephone and fax machines. 
  • High level proficiency in MS Office Suite, especially MS Access. Ability to use MS Outlook, including the calendar program, and perform accurate data entry into databases. 
  • Must be able to independently complete assignments and work under pressure to meet tight schedules. 
  • Sufficient written and oral communication skills to exchange routine information. Strong ability to proofread documents and compose correspondence. Good written and oral communication skills needed.  
  • Excellent customer service and phone skills.
