This position provides clerical and administrative support as required by the Organizing & Field Services department. 

DUTIES:

  • Review and process TAs for over 130 staff.
  • Work with regional and field offices to ensure deadlines are met and advances are delivered on time.
  • Work with managers to ensure information transmitted is accurate and meets AFSCME policy.
  • Answer, screen, and redirect telephone calls and delivers messages. 
  • Fulfill literature and supply requests.  
  • Package materials and type appropriate labels to ensure box(es) arrive by due date.
  • Provide data entry for publication inventory in Excel, updating as necessary.  
  • Provide monthly report to Administrative Assistant.
  • Receive incoming documents reviewed by Administrative Assistant for filing and assist Administrative Assistant in maintaining and organizing filing system.
  • Enter information into Access database and generates monthly reports.
  • File and retrieve information when requested.
  • Receive, open, date stamp and distribute mail.
  • Maintain departmental inventory in binder and prepares manifests and file folders to be archived.  Retrieve and send requests for files to and from Recall. 
  • Duplicate and circulate documents to external, as well as internal recipients. 
  • Prepare materials for trainings, such as stuffing binders, producing tents and badges, packing supplies, mailing boxes to training site and may provide on-site support at trainings.   
  • May be required to perform other duties as assigned, such as formatting and typing correspondence.

REQUIREMENTS:

Education & Experience:

  • High school graduate or equivalent.
  • Minimum three (3) years of office support experience plus general knowledge of office and organizational procedures or any combination of education and experience.

Skills:

  • Thorough knowledge of the MSOffice suite – Word, Excel, and Access.
  • The ability to use email including the calendar program.
  • Basic knowledge of office equipment such as reproduction, telephone and fax machines.
  • Knowledge of office practices and procedures.
  • Knowledge of grammar, spelling and punctuation to proofread and compose correspondence.
  • Proficiency in the use of word processing, database and spread sheet software.
  • Ability to perform simple mathematical computations. 
  • Ability to type 40 - 45 wpm.
  • Communication skills sufficient to exchange routine information.
  • Ability to establish and maintain effective working relationships with employees.
