This position provides advanced-level clerical, administrative support and related work as required to the Department Director and professional staff of the Federal Government Affairs Department.


  • Answer and place the Director's phone calls.
  • Assist Director in responding to emails, especially for scheduling purposes.
  • Answer incoming calls for the department, screen calls, route calls or take and deliver messages. Place calls as requested.
  • Manage Director’s calendar, including scheduling phone and virtual platform (zoom, team, google meet, etc.) meetings.
  • Schedule Director's travel arrangements. Prepare and process Travel Authorization forms (T/As) and expense reports for Director.
  • Format and finalize draft correspondence, alerts and fact sheets, testimonies, speeches, and PowerPoint slides for review.
  • Send final Hill letters to members of Congress and staff via BGov online email program.
  • Assist Director with preparation/organization of materials for Hill meetings. Serves as backup to post departmental letters and fact sheets on AFSCME’s website.
  • Create and maintain various contact lists for members of Congress, AFSCME leaders, and other groups.
  • Assist Director with Hill meeting tracking/notes in legislative tracking software platform.
  • Compile I.E.B. reports provided by professional staff; format, edit, and prepare final copy for Executive Office.
  • Provide backup to Administrative Assistant by occasionally proofreading, and occasionally preparing and processing expense payments in PN3.
  • Schedule congressional appointments for AFSCME members and leaders in conjunction with the Hill lobby days and other conferences.
  • Sort, store, retrieve and maintain files. May be required to perform other related duties as assigned.


Education and Experience

  • High school graduate or equivalent and at least (5) five years of office experience plus general knowledge of office and organizational procedures or any equivalent combination of education and experience which provides the required knowledge, skills, and abilities.

Skills Requirements:

  • A general understanding of protocol in dealing with federal elected officials including members of Congress, with an ability to manage priorities. High level proficiency in MS Office Suite as well as other databases.
  • Ability to use MS Outlook, including the calendar program, and perform accurate data entry into databases.
  • Excellent knowledge of office and organizational procedures.
  • Ability to learn legislative tracking software programs for news alerts and meeting tracking.
  • Basic knowledge of office equipment such as reproduction, telephone, and fax machines.
  • Must be able to independently complete assignments and work under pressure to meet tight schedules.
  • Strong ability to proofread documents and compose correspondence. Must demonstrate a typing speed of 45-50 wpm.
  • Sufficient written and oral communication skills to exchange routine information.
  • Ability to establish and maintain effective working relationships.
